This privacy notice sets out how Tonbridge Theatre and Arts Club (TTAC), also referred to as The  Oast Theatre Tonbridge, uses and protects any information that you give TTAC when you become a  member and use the website. It explains how we comply with the GDPR (General Data Protection  Regulation), the DPA (Data Protection Act) and the PECR (Privacy and Electronic Communications  Regulations). 

The Oast Theatre is committed to ensuring that your privacy is protected. Should we ask you to  provide certain information by which you can be identified when joining as a member, or using the  website, then you can be assured that it will only be used in accordance with this privacy statement. 

The Oast Theatre may change this policy from time to time by updating this page. You  should check this page periodically to ensure that you are happy with any changes. This  notice is effective from 2nd September 2021. 

The Oast Theatre may collect information from membership applications, hirings, the Website,  ticket booking and membership activities. These are listed below. This information may be stored  electronically, or on paper. 

We collect the following information: 

• Name, user name, password and membership number 
• Contact information, including telephone number and email address 
• Demographic information, such as address and postcode 
• Interests associated with membership of The Oast Theatre 
• Health information of children and young people 
• Payment details, such as Credit or Debit Card Number and associated authentication  information. 
• Media content (Photographs, video and audio) may be taken as part of a production, or to  record other events at The Oast Theatre. 

What we do with the information we gather 

• When joining as a member the information will be used to manage and maintain your membership and allow you to be informed and included in activities that you have  registered as of interest to you. The Membership system allows for payments by credit or  debit card, this is hosted by an external party and, therefore, the personal data is shared  with the third party as a Data Processor.  

Additionally: 

o It will be used to administer The OastTheatre’s monthly newsletter “Oast Notes”. o For those participating in productions, then additional information may be recorded  and maintained, such as costume sizing and programme entries. 

o Media content of productions and other events will be maintained for promotional  (subject to separate consent, see Public Media Consent below) and historic record  purposes. 

• Additional health information will be captured for Children and Young People involved in  productions or youth groups. This is to allow The Oast Theatre to provide due care of these  members and meet any local authority chaperone requirements. 
• To process sales of tickets. It allows us to contact you should there be a problem with a  ticket sale, or there is a problem with an event, such as it is unavoidably cancelled. Our  ticketing system and payment system is hosted by an external party and, therefore, the  personal data is shared with the third party as a Data Processor.  
• Theatre, Costume and Properties hire will record contact details applicable to the hirer to  deal with any payment or hiring issues. 
• It allows us to notify you of upcoming events put on by The Oast Theatre or other selected  local theatre groups if you request us to. Should you select to receive information about  selected local theatres, this will be achieved without disclosing your email address to any  other party outside of The Oast Theatre. You can unsubscribe at any time by following a link  at the bottom of the email’s notifications (or unsubscribe from all Mailchimp lists).  Email notification messages may contain tracking beacons / tracked clickable links or similar  server technologies in order to track subscriber activity within email notification messages.  Where used, such marketing messages may record a range of subscriber data relating to  engagement, geographic, demographics and already stored subscriber data.  
• We do not share your personal information with other organisations for the purposes of  Marketing, only as described above. 

We will retain this information for up to 3 years from your last contact with us, which may be the  purchase of a ticket, or the viewing or opening of an email notification that you have opted to  receive. The exception to this will be photographs and programme material which may be retained  indefinitely for theatre history purposes. 

Security 

We are committed to ensuring that your information is secure. In order to prevent unauthorised  access or disclosure, we have put in place suitable physical, electronic and managerial procedures to  safeguard and secure the information we collect. The Theatre uses third party payment systems for  processing credit and debit cards that enable us to comply with Payment Card Industry (PCI)  standards. 

Public media consent and copyright 

We take media material (photographic, sound and video) of our shows, events, rehearsals and  behind the scenes activity. As a member of TTAC we retain these securely in line with The Oast  Security Policy for internal use, such as directors and cast, as well as to build up a historic record of  the Theatre and its activities. The material may be handled by third parties, such as printers but will  not be sold for commercial gain. Additionally, we promote our current and future events with this  material, which may be used in the public domain, within the Theatre building, on posters, flyers and  other promotional material, including social media and websites. The copyright remains with the  photographer and the TTAC but if you wish to withdraw your consent for the public use of your  image at any time then inform the membership secretary membership@oasttheatre.com. Note that  this will not apply to media already printed or published. 

How we use cookies

A cookie is a small file which asks permission to be placed on your computer’s hard drive. Once you  agree, the file is added and the cookie helps analyse web traffic, or lets you know when you visit a  particular site. Cookies allow web applications to respond to you as an individual. The web  application can tailor its operations to your needs, likes and dislikes by gathering and remembering  information about your preferences. 

We use traffic log cookies to identify which pages are being used. This helps us analyse data about  webpage traffic and improve our website in order to tailor it to customer needs. We only use this  information for statistical analysis purposes and then the data is removed from the system. 

Overall, cookies help us provide you with a better website by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer, or any  information about you, other than the data you choose to share with us. 

You can choose to accept or decline cookies. Most web browsers automatically accept cookies but  you can usually modify your browser setting to decline cookies if you prefer. This may prevent you  from taking full advantage of the website. 

When someone visits www.oasttheatre.com we use a third party service, Google Analytics, to collect  standard internet log information and details of visitor behaviour patterns. We do this to find out  things such as the number of visitors to the various parts of the site. This information is only  processed in a way which does not identify anyone. We do not make and do not allow Google to  make any attempt to find out the identities of those visiting our website. 

Links to other websites 

Our website may contain links to other websites of interest. However, once you have used these  links to leave our site, you should note that we do not have any control over that other website.  Therefore, we cannot be responsible for the protection and privacy of any information which you  

provide whilst visiting such sites and such sites are not governed by this privacy statement. You  should exercise caution and look at the privacy statement applicable to the website in question. 

Social Media  

We use TTAC / Oast Theatre social media accounts, Facebook, Twitter, Instagram and You Tube to  promote the work we do. While we may have official profiles to these platforms, you are advised to  verify authenticity of such profiles before engaging with, or sharing information with such profiles.  We will never ask for user passwords or personal details on social media platforms. Users are  advised to conduct themselves appropriately when engaging with us on social media. 

Access to your personal information 

Under GDPR, you (the data subject) have the right to access and amend any of your personal data  that we hold. You are entitled to view, amend, or delete the personal information that we hold. If  you believe that any information we are holding on you is incorrect or incomplete, please write to, or email the Security Manager, Derek Rose at the above address or security@oasttheatre.com . We will promptly correct any information found to be incorrect.
